GAIA Conference 2027

Frequently asked questions

Here are answers to the most common questions about the GAIA Conference. If you need anything else, contact us using the information at the bottom of the page.

Venue and travel

When and where is GAIA Conference 2027?

The conference takes place on Tuesday 27 April 2027 at Svenska Mässan in Gothenburg. Workshops follow on Wednesday 28 April at the same venue. Tickets for the conference and the workshops are sold separately, so you can attend what suits you best. The conference is held in person: meeting others in the AI, machine learning, data science, and data engineering community is central to the experience.

How do I get to Svenska Mässan?

Svenska Mässan is located at Mässans Gata 8, next to Korsvägen, Scandinavium, and Liseberg. You can get there by tram or bus (Korsvägen) or train (Liseberg Station). If you drive, park at the Focus parking garage, which has an indoor walkway to the venue. The closest airport is Landvetter (GOT). The conference uses the Congress Foyer, Congress Hall, and rooms H1+H2 and G3 on the northwest side of the building. Enter through Entrance 8, located next to Scandinavium.

Is the venue accessible?

Yes. The entire event is wheelchair accessible via ramps and elevators, and guide dogs are welcome. Additional details are available on Svenska Mässan’s accessibility page. Contact us if you have any questions.

Are there hotels nearby?

Yes. Gothia Towers is part of the same building, and there are plenty of other options within walking distance.

Do you provide invitation letters for visa applications?

Yes. We can issue invitation letters to support Schengen visa applications for international attendees, though not for student tickets. Invitation letters are issued per registered attendee and cannot be requested by third parties on behalf of unregistered individuals. Please allow up to 10 business days for processing. To request an invitation letter, contact info@gaia.fish. The following requirements apply: (1) Confirmed and paid registration for the conference and/or workshops. (2) Full name (as it appears in the passport), date of birth, and passport number of the attendee. (3) Home address of the attendee. (4) Verifiable institutional or company affiliation (including website and business registration number), including job title. (5) A brief description of how the conference is relevant to the attendee’s work.

Tickets

Do you offer discounts for students?

Yes. Students pay 400 SEK excl. VAT for the conference on 27 April. The student ticket is for students, including PhD students, at a university in the EU, the European Economic Area, or Switzerland, with a valid student ID, such as a Mecenat, CSN, or ISIC card, or a certificate of registration from their university. Bring it to the conference, as we may ask to see it. If your proof of studies is of another kind, write to Way at gaia@way.se before you buy.

Is VAT included in the ticket price?

No. We are a Swedish non-profit association, but since 2026 we have sold tickets through an event agency, for 2027 Way, so 25% VAT is added to every purchase.

How can I pay?

By card, Swish, or invoice. VAT is added to the price. An invoice is due within 30 days and carries a fee of 125 SEK, as does each reminder. A corrected invoice address, or a change to your booking that needs a new invoice, costs 275 SEK.

Can I cancel or transfer my ticket?

Your registration is binding, and we cannot refund it if you cancel. You can transfer it to a colleague at no cost. To cancel, change the name, or make any other change, write to Way at gaia@way.se by 12 April 2027.

When are the workshops, and what do they cost?

The workshops are on Wednesday 28 April 2027, the day after the conference, and each needs a ticket of its own at 400 SEK excl. VAT. We publish the workshops once they are chosen, and expect their tickets to go on sale in late January or early February 2027.

Where can I ask about my ticket?

Write to our event agency, Way, at gaia@way.se, or call them on +46 10 188 25 00, about a ticket you have bought or want to buy.

At the conference

When should I arrive, and when does the day end?

The doors open at 08:00, and the stage program starts at 09:00. Come early if you can: breakfast is served from 08:00, and the hour before the talks is a good time to meet people. Arrive by 08:40 at the latest, so that you have time to get in, have breakfast, and take your seat before the program starts. The program is not final yet, but we expect the closing remarks to end around 17:20, followed by the After Conference until 18:45.

What should I bring?

Just your ticket. Some workshops require a laptop, so check the details of the workshops you plan to attend. Comfortable shoes are a good idea. A cloakroom is available during the conference, but bring only what you need as we are not responsible for items left there.

What food and refreshments are served?

Breakfast, lunch, afternoon fika, and coffee and tea throughout the day are all included in your ticket. After the final session, we host the After Conference with sparkling wine and non-alcoholic options. Please refrain from bringing outside food. Register any dietary needs when purchasing your ticket. We do our best to accommodate all requirements, though the kitchen cannot handle non-medical dietary choices such as ketogenic or Atkins diets. Food orders are placed two weeks before the conference, so we cannot guarantee accommodation for tickets purchased after that point.

What is the After Conference?

The After Conference begins right after the closing remarks at 17:20. It is an informal mingle in the exhibition area and Congress Foyer where you can unwind, reflect on the day, and continue conversations. One glass of sparkling wine or a non-alcoholic alternative is included with your ticket, and we serve light snacks alongside. No separate ticket is needed. Serving runs until 18:45, and the venue closes at 19:15. If you are still in good company by then, the community tends to find its way to a nearby pub afterwards.

Which is the official conference language?

English. All talks and workshops are conducted in English, possibly with a healthy portion of the local “Gothenburg English” dialect.

Will you record the talks?

Yes. As in earlier years, recordings of the talks appear on our YouTube channel within a few weeks of the conference. Individual speakers and companies may have publication restrictions, so not every talk will be public. The workshops are not recorded.
