Frequently asked questions
These were the most common questions about GAIA Conference 2026, with our answers.
Venue and travel
When and where was GAIA Conference 2026?
The conference took place on Monday 20 April 2026 at Svenska Mässan in Gothenburg. Workshops followed on Tuesday 21 April at the same venue. Tickets for the conference and workshops were sold separately, so you could attend what suited you best. The conference was held in person: meeting others in the AI, machine learning, data science, and data engineering community is central to the experience.
How did attendees get to Svenska Mässan?
Svenska Mässan is at Mässans Gata 8, next to Korsvägen, Scandinavium, and Liseberg, and is reached by tram or bus (Korsvägen) or train (Liseberg Station). The Focus parking garage has an indoor walkway to the venue, and the closest airport is Landvetter (GOT). The conference used the Congress Foyer, Congress Hall, and rooms H1+H2 and G3 on the northwest side of the building, with Entrance 8, next to Scandinavium.
Was the venue accessible?
Yes. The entire event was wheelchair accessible via ramps and elevators, and guide dogs were welcome. Svenska Mässan describes its accessibility on its accessibility page.
Were there hotels nearby?
Yes. Gothia Towers is part of the same building, and there are plenty of other options within walking distance. Attendees could book a hotel room together with their ticket.
Did you provide invitation letters for visa applications?
Yes. We issued invitation letters to support Schengen visa applications for international attendees, one per registered attendee, and not on request from third parties on behalf of unregistered individuals. We asked for up to 10 business days, and for: (1) a confirmed and paid registration for the conference or workshops; (2) the attendee’s full name as it appears in the passport, date of birth, and passport number; (3) the attendee’s home address; (4) a verifiable institutional or company affiliation, with website, business registration number, and job title; and (5) a brief description of how the conference was relevant to the attendee’s work.
Tickets
Did you offer discounts for students?
Yes. Students, including PhD students, with a valid Mecenat student ID paid 320 SEK excl. VAT for the conference on 20 April.
Was VAT included in the ticket price?
No. We are a Swedish non-profit association, but for the 2026 conference we sold tickets through an event agency, Meetx, so 25% VAT was added to every purchase.
At the conference
What did attendees need to bring?
Only their ticket, and a laptop for some of the workshops. A cloakroom was available during the conference, though we were not responsible for items left there.
What food and refreshments were served?
Breakfast, lunch, afternoon fika, and coffee and tea throughout the day were all included in the ticket. After the final session, we hosted the After Conference with sparkling wine and non-alcoholic options. Attendees registered their dietary needs with their ticket, since food orders were placed two weeks before the conference and the kitchen could not handle non-medical dietary choices such as ketogenic or Atkins diets.
What was the After Conference?
The After Conference began right after the closing remarks at 17:20: an informal mingle in the exhibition area and Congress Foyer, where attendees could unwind, reflect on the day, and continue their conversations. One glass of sparkling wine or a non-alcoholic alternative was included with the ticket, with light snacks alongside, and no separate ticket was needed. Serving ran until 18:45, and the venue closed at 19:15. Those still in good company by then tended to find their way to a nearby pub.
What was the International AI Talent Show?
In the afternoon, from 14:30 to 15:30, our partner Garden of Talents hosted an International AI Talent Show in Room R5+R6, with 50 seats. Garden of Talents is a non-profit that works to stop “brain waste”, the loss of skills that happens when qualified international professionals struggle to enter the Swedish job market despite their expertise. Its participants had spent weeks preparing in an incubator program, sharpening their professional profiles and pitches for the AI and tech sector.
The show flipped the traditional career fair: instead of companies presenting to candidates, the talent took the stage and pitched to employers.
Which was the official conference language?
English. All talks and workshops were in English, possibly with a healthy portion of the local “Gothenburg English” dialect.
Did you record the talks?
Yes. All the talks from the 2026 conference are on our YouTube channel, across all three tracks. We did not record the workshops.
